Common questions before signing.

How is this different from vCIO?

vCIO is strategy: which vendors should we use, what should our roadmap look like, what’s our risk register. Vendor Management is operations: file the ticket, chase the warranty, manage the renewal. Most clients with 20+ users want both. vCIO Standard already includes light vendor strategy review twice a year. Vendor Management adds the day-to-day operational ownership on top.

Do I still talk to my vendors directly?

Only when you want to. Most clients route everything through us. Some keep one or two relationships in-house (a long-time copier rep, a personal SaaS contact). You decide which vendors we own and which you keep. The vendor register documents both columns.

What if a vendor isn’t on your approved list?

We don’t keep an approved vendor list. We work with whatever stack you have. If you want our opinion on a replacement, that’s a vCIO conversation. Vendor Management is vendor-agnostic by design.

Do you negotiate on price?

Standard tier flags renewal negotiation opportunities for your team to act on. Premium tier negotiates on your behalf with full authority you delegate. Most carrier and SaaS renewals leave 10 to 20% on the table when nobody pushes back. Premium clients typically recover the tier cost in the first two renewals.

Is contract review legal advice?

No. We review for operational and commercial terms (SLA, term length, auto-renewal language, termination rights, pricing escalators). If something needs a lawyer (indemnification, liability caps, IP language), we route it to your counsel with the specific clauses flagged. We don’t replace legal review and we don’t pretend to.

What counts as a “vendor” for tier limits?

Any third-party with an active contract, recurring invoice, or support relationship. Microsoft 365, your ISP, your copier lease, each line-of-business SaaS, your firewall vendor, your hardware refresh source. A typical 25-user shop has 15 to 25 active vendors. We can count yours during the free vendor discovery call.

Can I add Premium tier features for one specific contract?

Yes. Standard tier clients can buy ad-hoc negotiation support or RFP authoring at our hourly rate ($185/hr, capped quote per project). Comes up most often with copier RFPs, carrier consolidations, and SaaS renewals over $50K/year.

How long is the contract?

Month-to-month with 60-day notice to cancel. We don’t lock you in. Vendor Management retains because clients see the renewals we catch and the warranties we recover, not because of a contract.
